Recommendation¶
For a first self run camp, East Bay makes the most sense. Shane is local, BUSC (already a partner after 2/16 trial) is nearby, and field costs are lower. Dougherty Valley or Emerald Glen would be strong options.
Book 3 to 4 hours minimum (setup + 90 min testing + buffer).

If East Bay field:¶
- BUSC (Pleasanton), already in pipeline
- Mustang SC (Danville), already in pipeline

Legal and Operational Requirements¶
Must Have¶
| Item | Est. Cost | Notes |
|---|---|---|
| General liability insurance | $200 to $500 per event | Most cities require $1M to $2M in coverage to rent a field. Can get event specific policies from providers like K&K Insurance, NEXT Insurance, or The Event Helper. |
| Field rental permit | Included in rental fee | Apply through the city's parks department. Book 4 to 8 weeks in advance. |
| Participant waivers | Free (draft your own) | Waiver of liability signed by parent/guardian for every player under 18. Covers injury, data collection, and media consent. |
| Data consent forms | Free (draft your own) | Required by Game1 for collecting player performance data. Separate from injury waiver. |
Strongly Recommended¶
| Item | Est. Cost | Notes |
|---|---|---|
| Athletic trainer or EMT on site | $200 to $400 | Some cities require medical personnel for youth sports events. Even if not required, strongly recommended for liability protection. Check with the specific city. |
| First aid kit | $30 to $50 | Basic kit with ice packs, bandages, tape. Should have one regardless. |
| AED (defibrillator) access | Free if field has one | Confirm the field has an AED nearby. If not, consider renting one ($50 to $100). |
May Be Required (Check with City)¶
| Item | Notes |
|---|---|
| Business license or special event permit | Some cities require a special event permit if charging admission or running a commercial event on public land. Check with the parks department when booking. |
| Portable restrooms | Only if the field doesn't have permanent restrooms nearby. $150 to $250 for a unit. |
| Noise permit | Unlikely needed for a soccer camp, but check if using a PA system. |
| Parking plan | If the venue has limited parking, you may need to communicate parking logistics to attendees. |
Insurance Details¶
For a youth soccer event, you need at minimum: - General liability: $1M per occurrence, $2M aggregate (standard requirement for public field rentals) - Participant accident coverage is optional but smart - Providers: K&K Insurance (kksports.com), NEXT Insurance, The Event Helper (theeventhelper.com) - Cost: Single day event policies typically run $200 to $500 depending on participant count
Budget Estimate (20 to 30 players)¶
| Line Item | Low Est. | High Est. |
|---|---|---|
| Field rental (3 to 4 hrs) | $150 | $400 |
| Insurance | $200 | $500 |
| Athletic trainer / EMT | $200 | $400 |
| Equipment (if not provided by Game1) | $0 | $100 |
| First aid kit | $30 | $50 |
| Water / supplies | $30 | $50 |
| Total | $610 | $1,500 |
At $150/player (standard rate) with 20 players, gross revenue is $3,000. Even at the high end of costs, net would be around $1,500.
Target Attendance¶
- Goal: 25 players (range: 20-30)
- Break-even: ~6-8 players at $150/player covers $610-$1,500 in costs
- Stretch: 30 players = $4,500 gross revenue
- This is the first self-run camp, keep it manageable, prioritize quality over volume

Key Decision Points for Shane¶
These need to be resolved by Feb 24 (venue booking week):
- Venue selection, East Bay recommended (Dougherty Valley or San Ramon turf fields). Call San Ramon Parks at (925) 973-3200 to check April 25 availability
- Pricing model, $150 standard? Or introductory rate ($125 early bird / $150 standard)? Or flat $125 to drive volume for first event?
- Free spots for pipeline clubs, Offer 2-3 free spots to BUSC / Mustang as an incentive? Could drive word-of-mouth but reduces revenue
- Registration platform, Google Forms + Stripe (recommended, low cost) vs. dedicated platform (Eventbrite takes ~6% + fees)
- Staffing confirmation, Confirm Amir availability. Confirm Zach/Noah for April 25
